Export Quicken to Excel or Access

How do I export data to an Excel spreadsheet or Access database (for example, so that I can email it to a colleague)?

In addition to creating the standard reports, Quicken Rental Property Manager also lets you export data to a format that can be imported into an Excel or 1-2-3 spreadsheet, Access database, or word processor file. Once exported, you can send the report by email to someone who does not have Quicken Rental Property Manager, but who needs the information in your report (for example, your accountant or bookkeeper).

Export from Quicken Rental Property Manager

  1. Create a report as you usually do.
  2. Choose File menu > Print.
  3. To export a file you can import into Excel or Access, in the Print dialog, select Export to tab separated values file (Excel-compatible).
    To export a file you can import into 1-2-3, in the Print dialog, select Export to .PRN (1-2-3 compatible) Disk File.
    To export a file you can open in a word processor, in the Print dialog select Export to ASCII Disk File.
  4. Customize the other settings according to your preferences.
  5. Click OK.
    The Create Disk File dialog appears.
  6. Navigate to a new folder, if necessary. In the File name field, enter a name for the file. Click Save.

Import to Excel

When you open Excel, choose Data menu > Import External Data > Import Data, and then navigate to the folder where you saved the Quicken Rental Property Manager text file. For more information, see Excel Help.

Import to Access

When you open Access, choose File menu > New to create a new database. When Access prompts you for how you want to create the database, choose to create it by entering data. Then follow the Access procedure for importing external data, navigating to the folder where you saved the Quicken Rental Property Manager text file. For more information, see Access Help.

Sending the Report by Email

Once you have created the selected report as a standalone file, you're ready to send it out. Most email programs allow you to send file attachments; see the instructions for your specific email program to determine how to send a file as an attachment.

Controlling a User's Ability to Export Data from an Application

You can control the ability of regular application users to export data from an application. When you create an application, QuickBase turns on this ability by default. When you turn off this option, QuickBase removes the Export data from this application command from the user's Import/Export page. QuickBase also removes the Export this report to a spreadsheet and Export this report to another Table menu items from the Other link that appears in the silver header when users display a report.

In addition, when users who don't have permission to export data create a new report or refine an existing one, QuickBase does not display the Formatting options in the Additional Options section of the Report Builder. (These formatting options normally let users choose to save data in a spreadsheet or data file format.) However, this setting won't carry over to any reports saved prior to the "export ability" setting change—QuickBase does still display the formatting options in the Report Builder for existing reports. If you want to keep previously saved reports safe from export, save each one again, and QuickBase applies the new restrictions to those reports as well.

Note: The setting described below affects only regular users of an application. Any users you've given administrative powers (within your application) won't be limited by these settings.

To turn on or off the ability to export data from an application:

  1. In the menu bar on any application page, click Customize > Application.
  2. On the left side of the Settings tab, click Advanced Settings.
  3. Select or clear the Allow users who are not administrators to export data check box as appropriate, and then click Save Changes.

Exporting Data Out of QuickBase

You can export data out of QuickBase one table at a time. To do so, you'll save each table's data in a text file format (one of those listed in Step 6 below), which lets you transfer your data to outside spreadsheets or database applications. If you want to export a subset of data (like records you've collected in a report) instead, you can do that too. (Read how.)

Tip: If you want to export data to another application within QuickBase, read about the Import from Table feature.

To export a table's data:

  1. Open the application from which you want to export data.
  2. In the menu bar on any application page, click Customize > Import/Export.
  3. Click the Export a table to a file radio button.
  4. If you're exporting from a multi-table application, select the table from which you want to export data.
  5. Select an export format:
    • comma-delimited (.csv) Saves records in text format. Fields are separated by commas and records are separated by a carriage return. Most database programs understand this format, so this kind of file is one of the most commonly used to move data between different programs. Use this format if you're exporting to a spreadsheet program.
    • tab-delimited (.tsv) This file is just like a comma-delimited file, except that tabs separate field values instead of commas. This format is also good for export to a spreadsheet program.
    • XML (short for Extensible Markup Language) output also creates a simple text file, but this file uses descriptive tags to separate fields and records.
    When you've made a selection, click Export to File.
  6. Save the file. If you're exporting to an XML file, the file displays in your browser window. From your browser's menu, select File > Save As to save the file. (If you're using Mozilla Firefox, select File > Save Page As instead.) If you're exporting to a comma-delimited or tab-delimited file a File Download dialog box displays. Click Save to display a Save As dialog box. Enter a name and location for the exported file, and then click Save. When the download completes, click Close. (If you're using Mozilla Firefox, click Save to Disk instead.)

Note: You cannot export file attachments.

Exporting ACT! data to a .CSV file

The instructions shown below are for ACT! 2000. If the steps provided do not match the version you are using, please refer to the Help menu that is provided with ACT!

To export ACT! data

  1. From the main menu in ACT!, click File » Data Exchange » Export.

  2. The Export wizard opens.

  3. In the File type field, select Text - Delimited.

  4. Specify a file location and file name with a .CSV extension. For example, the file name and location may be similar to, C:\Act\Database\Export.csv.

  5. Click Next.

  6. Since it is assumed that you are importing the name and address details of the contact records stored in the ACT! database, select Contact records only, and then click Options.

  7. Complete the following:

    • Select the Comma option button in the Select field separator section.

    • Select the Yes, export field names check box in the Do you want to export field names section.

    • Click OK to return to the wizard.

  8. Click Next.

  9. Select All records and click Finish.

  10. Do not click Next at this step, since doing so will open the ACT field mapping options. Any mapping changes made to the data file will cause the data to import into the wrong fields in Top Producer 7i.

  11. Refer to the import instructions for details on how to import this data into Top Producer 7i.

Browser Ghost....

Now-a-days a lot of applications are designed for web based. Here comes the need to troubleshoot the issue they face with different plug ins the users install. People install a lot of plug ins but while troubleshooting we can't keep the customer in a Zoho meeting for a long time.

If Firefox/Internet Explorer provides the facility to ghost (like Norton Ghost) the browser in a single file, the research team can apply the ghost in their test machine to bring the same browser settings with the add-ons or plug ins that the customer is having. This will make the analyze easier to get the cause of the issue. As I'm working with Zoho (complete online solution), we often face the browser issue with the plug ins. Hope we will get a browser ghost shortly.
